This Privacy Policy describes how Picton Tennis (“we”, “us”, or “our”) collects, uses, stores, and protects information when you use the Picton Tennis mobile application (“the App”). We are committed to protecting your privacy in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

By using the App, you agree to the practices described in this policy.

  1. What Information We Collect

The App does not require you to create an account or provide your name, email address, or any other identifying personal information to use it.

We collect only the following limited technical data:

  1. a) Push Notification Token

When you grant permission for notifications, your device generates a unique push notification token. We collect and store this token so we can deliver session status alerts to your device. This token is tied to your device, not to you personally.

  1. b) Device Platform

We record whether your device is iOS or Android. This is used solely to ensure notifications are delivered in the correct format.

  1. c) Session Day Preferences

You choose which days of the week you attend sessions. These preferences are stored on our servers so that you only receive notifications relevant to your selected days. You may update or remove these preferences at any time from within the App.

  1. d) Usage Timestamps

We store timestamps of when your push token was registered or updated. This is used for maintenance purposes only, such as removing inactive tokens.

  1. What We Do Not Collect

We do not collect:

Your name, email address, or contact details

Your location or GPS data

Any financial or payment information

Any data from your photos, camera, microphone, or contacts

Any data about other apps on your device

Any information about your browsing activity outside the App

The information we collect is used exclusively to operate the App’s core features:

Day preferences:          To send only the notifications relevant to your schedule

Timestamps:   To maintain and clean up our notification database

We do not use your data for advertising, profiling, analytics, or any purpose beyond delivering session status notifications.

  1. How We Store and Protect Your Data

Your data is stored in Google Firebase Firestore, a cloud database service provided by Google LLC. Firebase data centres are certified to industry-standard security frameworks.

All data transmitted between your device and our servers is encrypted in transit using HTTPS/TLS. We apply access controls to our database so that only authorised personnel can view stored data.

We retain your push token and day preferences for as long as you have the App installed and notifications enabled. If your token becomes inactive (e.g., you uninstall the App), it will be automatically removed from our database.

  1. Sharing of Your Data

We do not sell, rent, or trade your data to any third party.

We share data only with the following service providers who are necessary to operate the App:

Google Firebase (Firestore & Cloud Messaging) — for data storage and notification delivery. Google’s Privacy Policy

Expo (Expo Push API) — used to route notifications to your device. Expo’s Privacy Policy

These providers are contractually bound to process your data only as instructed by us and in accordance with applicable privacy laws.

  1. Permissions Requested

The App requests the following device permissions:

Permission        Why It Is Needed

Notifications: To alert you when a session status changes

Background App Refresh:       To check for status updates and notify you even when the App is not open

Vibrate:                To accompany notification alerts with haptic feedback

Receive Boot Completed (Android only):     To resume background status monitoring after your device restarts

You can revoke notification permissions at any time through your device’s Settings. If you do, you will no longer receive session status alerts, but the App will continue to function for manually checking status.

  1. Children’s Privacy

The App is not directed at children under the age of 13. We do not knowingly collect personal information from children. If you believe a child has provided information through the App, please contact us and we will promptly delete it.

The App is designed for use by tennis academy students, parents, and staff. Parents are responsible for supervising their child’s use of the App.

  1. Your Rights

Under the Australian Privacy Act and the Australian Privacy Principles, you have the right to:

Access the data we hold about you

Correct inaccurate data

Request deletion of your data — you can do this by contacting us, and we will remove your push token and day preferences from our servers within 30 days

Withdraw consent to notifications at any time via your device settings

To exercise any of these rights, contact us at the email address in Section 2.

  1. Third-Party Links

The App does not contain links to third-party websites or services other than those described in Section 7.

  1. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will update the “Last updated” date at the top of this document. Continued use of the App after any changes constitutes your acceptance of the updated policy.
